Job Role:
As an Admin Assistant in an Interior Design firm, your role is to provide administrative support to the studio team and ensure that the daily operations of the studio run smoothly. Here are some of the key tasks in this position:
We’re looking for someone who:
Reception and Communication: Answering calls, greeting visitors, and managing incoming and outgoing mail and deliveries.
Scheduling and Calendar Management: Schedule appointments and meetings, organise calendars, and coordinate events and travel arrangements for the Creative Director.
Filing and Data Management: Organise and maintain electronic systems, as well as manage data entry.
Office Management: Order office supplies and manage office maintenance, including cleaning, repairs, and equipment maintenance. Liaise with vendors for plant maintenance. Liaise with IT support as required, use paper collection, and office license renewals.
Budget Management: Assist with tracking and managing studio expenses.
Project Support: Provide support to the design team with tasks such as sourcing materials, organising samples, and preparing presentations. Arrange Lunch and Learn presentations at the supplier’s request, keeping the calendar up to date.
Documentation and Record Keeping: Maintain accurate records of studio activities, including project files, meeting minutes, and correspondence. Develop and maintain an updated folder of Library samples and suppliers.
Social Media and Marketing: Update and maintain social media platforms, including LinkedIn, and office organisation charts and CVs for Bids.
An Admin Assistant role requires strong organisational skills, attention to detail, effective communication skills, and the ability to work collaboratively within a team. You are responsible for supporting the studio team with various administrative tasks and ensuring that the studio runs efficiently. With experience and skill development, you may have the opportunity to take on more senior administrative roles within the firm.
Background & Skills:
Education: High School diploma
Experience: 3-5 years’ position in an administrative support role
Technical skills: Computer skills with proficiency in MS Office
